Automate outreach, follow-ups, replies, and CRM updates
Salesforce Email Cadence Automation
Keep your Salesforce follow-up moving without asking your sales team to remember every email, call, task, and status update.
WebSolo Email Cadence Automation helps businesses manage structured outreach directly in Salesforce. It can send scheduled emails, create follow-up activities, detect customer replies, stop messages that are no longer needed, and update Salesforce records automatically.
For companies with a clear and focused outreach process, it can be a practical alternative to implementing the full Salesforce Sales Engagement product.
Salesforce-Native Follow-Up Automation
Follow Up at the Right Time
Schedule personalized outreach, create activities for your sales team, monitor customer responses, and keep Salesforce records up to date throughout the process.
Built Around the Way Your Team Already Uses Salesforce
Consistent follow-up sounds simple, but in practice it can be difficult to maintain. Sales representatives are often expected to remember when to send each email, when to call, when to create a task, and when to stop contacting someone who has already replied.
WebSolo Email Cadence Automation brings those steps together inside Salesforce. Instead of introducing another disconnected sales tool, the cadence can work with your current Contacts, Leads, Accounts, Opportunities, email templates, statuses, and business rules.
Follow up more consistently: make sure qualified prospects receive the right communication at the right point in the sales process.
Reduce repetitive work: schedule emails, create Tasks, record supported replies, and update Salesforce fields automatically.
Stop when someone responds: cancel pending follow-ups when a customer replies or no longer meets the cadence requirements.
Keep the history in Salesforce: connect emails, replies, Tasks, statuses, Contacts, Accounts, and Opportunities in one place.
Match your existing process: configure the solution around your Salesforce objects, stages, users, timing, and communication rules.
Start with what you actually need: implement a focused workflow without paying for a larger engagement platform that your team may not fully use.

Organizations that need a focused and customizable alternative to the full Salesforce Sales Engagement feature set
Developed Through Real Salesforce Implementations
This framework was not created as a theoretical demo. WebSolo has already adapted it to different Salesforce sales and outreach processes.
Previous implementations have included:
Sequential outreach to several Contacts within the same target company
Initial emails followed by one or more scheduled messages
Opportunity-based follow-up after rates, quotes, or other information is sent
Email, call, and text-message activity scheduling
Moving to another Contact when the first person does not respond
Stopping the remaining cadence after a customer reply
Creating Salesforce Tasks and EmailMessage records
Updating Contact, Account, and Opportunity statuses
Business-day, weekend, and timezone scheduling
Controlled testing with approved email addresses
The framework is reusable, but the final implementation is not one-size-fits-all. We configure it around the way your team works, the records you use, and the type of follow-up you need.
The Problem We Are Trying to Solve
Many Salesforce organizations have a sales process, but the actual follow-up still depends heavily on individual users remembering what to do next.
This can lead to:
Important prospects not receiving a follow-up
Different sales representatives using different processes
Quotes and proposals being sent without a clear next step
Emails continuing after a prospect has already replied
Replies not being connected to the right Salesforce record
Users spending time creating the same Tasks again and again
Contact and Opportunity statuses becoming outdated
Communication being managed outside Salesforce
Limited visibility into what was sent, cancelled, skipped, or failed
A larger sales platform being purchased for a fairly specific requirement
Email Cadence Automation connects those pieces into one Salesforce process, so the sales team has fewer manual steps to manage.
How Email Cadence Automation Works
A Salesforce event starts the cadence. A Contact, Lead, Account, Opportunity, or supported custom record meets the configured conditions.
The system identifies the recipient. It selects the appropriate Contact, Lead, Opportunity Contact Role, or other related person.
The follow-up steps are scheduled. The cadence creates the required emails, call Tasks, text-message Tasks, reminders, and other activities.
Salesforce sends the email. The message is created from an approved Salesforce email template and personalized with supported Salesforce information.
Tasks are assigned to the sales team. Manual actions can be assigned to the record owner, Opportunity owner, agent, or another configured user.
The cadence checks for a response. Supported email, Task, call, or messaging activity can be reviewed before another message is sent.
Remaining steps are stopped when appropriate. If a customer responds, the cadence can cancel any pending follow-ups.
Salesforce records are updated. Contact statuses, Opportunity stages, response dates, and other fields can change automatically.
The activity history remains available. Users and administrators can see what was scheduled, completed, cancelled, skipped, or failed.
What Can Start a Cadence?
A cadence can begin automatically when a Salesforce record reaches a particular stage or meets a set of business conditions.
Examples include:
An Opportunity moves to a Quote Sent, Proposal Sent, or Rates Sent stage
A Lead becomes eligible for prospecting
A Contact is added to an outreach process
An Account is assigned a particular campaign type
A quote, estimate, or proposal is delivered
A customer enters a renewal period
A prospect has been inactive for a defined amount of time
A new customer begins onboarding
A custom Salesforce record reaches a specified status
A user manually adds a qualifying record to the cadence
The entry rules can use Salesforce fields, record types, dates, ownership, statuses, stages, exclusions, and related-record information.
Configurable Cadence Steps
Every organization follows up differently. Some may need two simple emails, while others may need a combination of emails, calls, text messages, reminders, and Salesforce updates.
A cadence may include:
An initial outreach email
One or more follow-up emails
Call Tasks
Text-message Tasks
Internal reminders
Owner notifications
Contact or Lead status updates
Opportunity-stage updates
Waiting periods between steps
A final follow-up or thank-you email
A recycling or reactivation step
Each step can include settings such as:
Whether the step is active
The step name and sequence
The waiting period before the step
The preferred sending time
The Salesforce email template
Weekend and business-day rules
Recipient-local-time behaviour
A fallback timezone
Task assignment and subject
Conditions that should stop the cadence
Where appropriate, this information can be stored in Salesforce Custom Metadata. This makes it easier to adjust timing, templates, and other settings without rewriting the main automation code.
Selecting the Right Recipient
The system can determine who should receive a message based on the relationships and information already stored in Salesforce.
Recipient options may include:
The primary Opportunity Contact Role
The first available Opportunity Contact Role
A Contact related to the Account
Contacts ordered by priority or seniority
The Lead connected to the outreach process
A primary decision-maker
A renewal, billing, or service Contact
A Contact stored in a custom lookup field
A fallback recipient when the preferred Contact is unavailable
For Account-based prospecting, the cadence can also work through several Contacts in order. If the first person does not respond, the system can move to the next person instead of repeatedly contacting the same individual.
Salesforce Email Templates
The cadence can use Salesforce email templates to keep outreach consistent while still including relevant information from the CRM.
Templates may include supported merge fields such as:
The recipient’s name
The company or Account name
Opportunity details
Quote, rate, or proposal information
The sales representative’s name and contact details
Relevant dates
Products or services discussed
Custom Salesforce field values
Unsubscribe or opt-out information
As part of the implementation, WebSolo can review and adjust the initial outreach and follow-up templates. We can check the subject lines, merge fields, HTML and text versions, signatures, fallback wording, and whether the templates work correctly with the automation.
Very complex dynamic wording can sometimes create maintenance problems. In those situations, a clear and reliable message is usually better than trying to make every sentence completely dynamic.
Automatic Response Detection
This is one of the most important parts of the solution. A basic email scheduler sends messages according to a calendar. Email Cadence Automation can also react to what the customer does.
Depending on the Salesforce tools and integrations available, response detection may include:
Inbound EmailMessage records
Replies received through Salesforce Email Services
SMS activity recorded in Salesforce
Connected inbound or outbound calls
Completed call Tasks
Talkdesk activity where available
Other supported Salesforce communication records
When a qualifying response is detected, the automation can:
Stop the next email
Cancel all remaining cadence steps
Save the reply as a Salesforce email activity
Create a follow-up Task
Update the Contact or Lead status
Advance the related Opportunity
Record the response date
Record why the cadence stopped
Notify the assigned sales representative
The response must be available in Salesforce for the automation to detect it. If a reply exists only in an external mailbox and is not synchronized or routed into Salesforce, the cadence will not be able to see it.
The response timing also depends on the design. A scheduled process can check for replies before the next step is sent. Event-based automation can be added when Salesforce needs to react immediately after an inbound message or activity is created.
Tasks for Calls, Text Messages, and Personal Follow-Up
Not every sales step should be automated. Sometimes the right next action is a personal call, a text message, or a review by the sales representative.
The cadence can create Tasks such as:
Call the prospect
Send a personal text message
Review the customer’s reply
Confirm that the quote was received
Discuss questions about a proposal
Schedule a consultation
Update the Opportunity
Escalate the record to another team member
Review a failed cadence step
Reconnect with the prospect after a waiting period
Tasks can be assigned to the appropriate Salesforce user and connected to the relevant Contact, Lead, Account, Opportunity, or custom record.
Automatic Salesforce Record Updates
The cadence can also keep Salesforce records aligned with what is happening in the conversation.
For example, the automation can:
Move a Contact from Prospect or Nurture to Active Dialogue after a reply
Advance an Opportunity after customer engagement
Move an Opportunity to a follow-up or finalization stage
Record when the cadence began
Record the most recent outreach date
Record the customer response date
Identify whether the cadence is active, completed, cancelled, skipped, or failed
Exclude active customers from prospecting
Exclude Contacts who already have an active conversation
Return inactive prospects to a later nurture process
Restart a cadence after an approved waiting period
The actual fields and status values are matched to the organization’s current Salesforce configuration.
Business-Day, Weekend, and Timezone Scheduling
Follow-up timing should make sense for the customer, not just for the Salesforce server.
Scheduling options may include:
Calendar-day delays
Business-day delays
Weekend avoidance
Moving weekend messages to Monday
Configured sending hours
Recipient-local-time scheduling
A fallback timezone when location information is unavailable
Rules that prevent several delayed messages from arriving together
Different timing for different cadence steps
Regular scheduled processing throughout the day
For example, an email intended for Monday morning can be scheduled according to the recipient’s location instead of being sent at the same server time for everyone.
Opt-Out and Exclusion Controls
The cadence can use Salesforce communication preferences and business rules to decide who should not receive an email.
Controls may include:
Salesforce Email Opt Out
Custom unsubscribe fields
Unsubscribe links
Account-level exclusions
Contact-level exclusions
Existing-customer exclusions
Active-conversation exclusions
Opportunity-stage exclusions
Campaign eligibility rules
Suppression lists
Invalid or missing email-address checks
Manual cadence cancellation
The customer remains responsible for confirming that its lists, consent process, email content, communication frequency, and outreach procedures meet applicable legal and regulatory requirements.
Safe Testing Before Launch
Email automation should not be activated across production records without controlled testing first.
The solution can include a Test Mode with controls such as:
Approved test Contacts
Allowlisted email addresses
Internal recipient overrides
Test-only cadence activation
Shortened waiting periods
Sample Accounts, Contacts, Leads, and Opportunities
Manual processing of selected test records
Inbound reply testing
Stop-condition testing
Opt-out and exclusion testing
Once the process has been reviewed and approved, Test Mode can be disabled and the cadence can be activated for the agreed production users and records.
Cadence History and Tracking
Each scheduled step can have its own Salesforce tracking record. This makes it easier to understand what happened without trying to reconstruct the process from emails and Tasks alone.
A tracking record may include:
The related Opportunity, Account, Contact, Lead, or custom record
The cadence name
The step name and sequence
The selected recipient
The recipient email address
The Salesforce email template
The scheduled date and time
The actual processing date and time
The cadence start date
The recipient timezone
The current status
A unique processing key
Error details
The reason the cadence stopped
The retry count
Common statuses may include:
Pending: the step is scheduled but has not been processed yet.
Sent: the email was successfully submitted through the configured Salesforce sending process.
Completed: the required sales activity was completed.
Cancelled: the customer responded or the Salesforce record no longer qualified.
Skipped: the step was intentionally bypassed because of a rule or configuration.
Failed: Salesforce could not complete the step and recorded an error.
A unique execution key can help prevent the same step from being processed more than once.
Error Handling and Monitoring
Email automation can fail for ordinary reasons: a recipient may not have an email address, a template may have been renamed, a sender may not be verified, or Salesforce may reach a platform limit.
The solution can be designed to:
Confirm that the recipient exists
Confirm that an email address is available
Check the recipient’s opt-out status
Confirm that the Salesforce record still qualifies
Confirm that the required email template exists
Confirm that the cadence is enabled
Apply Test Mode restrictions
Record failed processing attempts
Store understandable error messages
Support controlled retries
Process records in manageable groups
Notify an administrator when an important failure occurs
Expected volumes should be reviewed during implementation. Salesforce governor limits, email limits, template rendering, and response-detection queries all need to be tested using realistic record volumes.
Email Sending and Deliverability
The sender may be the assigned sales representative, Opportunity owner, approved organization-wide address, or a dedicated outreach mailbox.
The final setup may include:
Verified Salesforce user email addresses
Verified organization-wide email addresses
A dedicated outreach mailbox
Google Workspace or Microsoft 365
Salesforce Email Relay
Salesforce Email Services
Inbound reply routing
SPF configuration
DKIM configuration
DMARC review
Email-domain verification
If the sender is not properly verified, Salesforce may reject the email or use an unintended fallback address. Sender configuration should always be confirmed before production activation.
The cadence manages the Salesforce process, but email delivery also depends on the customer’s domain reputation, mailbox setup, message content, list quality, receiving servers, and spam filtering.
No email automation solution can guarantee inbox placement, email opens, or customer responses.
A Focused Alternative to Salesforce Sales Engagement
Salesforce Sales Engagement is a valid Salesforce product designed for broader sales engagement and sales productivity requirements.
WebSolo Email Cadence Automation is aimed at organizations with a more specific process that needs to be configured around their current Salesforce environment.
Product Model
Salesforce Sales Engagement: a packaged Salesforce product with recurring licensing. WebSolo Email Cadence Automation: a tailored Salesforce implementation based on a reusable WebSolo framework.
Salesforce Sales Engagement: configured within the packaged product’s available functionality. WebSolo Email Cadence Automation: adapted to the customer’s Salesforce records, statuses, templates, activities, and workflow.
Commercial Approach

It is a configurable Salesforce solution that schedules outreach emails and sales activities, checks for supported customer responses, stops follow-ups that are no longer needed, and updates Salesforce records automatically.
Is it a replacement for Salesforce Sales Engagement?
It can be a focused alternative for organizations with a clearly defined outreach process that do not require the complete Salesforce Sales Engagement feature set. It is not intended to reproduce every Sales Engagement capability.
Does it require a Salesforce Sales Engagement license?
No additional Sales Engagement subscription is required for the WebSolo implementation. The customer still needs the Salesforce licenses, email accounts, and supporting services required for the selected design.
Can it stop emails after a prospect replies?
Yes. When a supported reply or response is recorded in Salesforce, the remaining cadence steps can be cancelled.
How quickly will it stop after a reply?
That depends on the implementation. A scheduled processor can identify the response before the next email is sent. Event-based processing can also be added when Salesforce needs to react immediately.
Can replies be saved in Salesforce?
Yes. Salesforce Email Services or another approved integration approach can be used to receive supported replies and associate them with Salesforce records.
Can it create sales Tasks?
Yes. It can create call, text-message, review, reminder, and other follow-up Tasks for the appropriate Salesforce user.
Can it update Opportunity stages or Contact statuses?
Yes. Contact statuses, Lead statuses, Opportunity stages, cadence statuses, and supported custom fields can be updated according to the agreed rules.
Can we use our existing Salesforce email templates?
Usually, yes. The templates and merge fields need to be reviewed to confirm they work with the selected implementation.
Can each step use a different template?
Yes. Each cadence step can use its own Salesforce email template.
Can the timing be customized?
Yes. Delays, sending hours, weekend rules, business-day logic, and supported timezone behaviour can be configured around the business process.
Can it contact more than one person at an Account?
Yes. The solution can work through an ordered list of Contacts and move to the next person when the previous Contact does not respond.
Can customers unsubscribe?
Yes. The solution can support Salesforce Email Opt Out, custom unsubscribe fields, exclusion controls, suppression rules, and agreed unsubscribe handling.
Can we have more than one cadence?
Yes. Different cadences can be created for separate sales processes, products, teams, record types, or customer groups.
Can it work with custom Salesforce objects?
Yes. The framework can be adapted to supported custom objects when the required recipients, relationships, statuses, and activities are clearly defined.
Can the Opportunity owner be used as the sender?
Yes, subject to Salesforce sender verification, permissions, mailbox configuration, and the agreed email architecture. An organization-wide or fallback sender can also be used.
Can we use Google Workspace or Microsoft 365?
Yes. A business mailbox can be included in the sending and reply-processing setup. The exact approach depends on the customer’s Salesforce and email environment.
Can Salesforce Email Relay be configured?
Yes. Email Relay can be configured where it makes sense for the customer’s email and deliverability requirements.
Can the solution detect calls or text responses?
It can use supported call, Task, SMS, telephony, or messaging activity when that information is integrated with or recorded in Salesforce.
Can we test it before launch?
Yes. Controlled testing can use approved Salesforce records, allowlisted email addresses, shortened timing, and recipient overrides where appropriate.
Will it guarantee that emails reach the inbox?
No. Email delivery depends on sender configuration, domain authentication, message content, recipient information, reputation, receiving servers, and spam filtering.
Does WebSolo provide training and support?
Yes. WebSolo can provide administrator guidance, user training, implementation support, and a one-year warranty for the functionality delivered within the agreed scope.
