United Way Simcoe Muskoka relied on Salesforce and the Nonprofit Success Pack to manage fundraising, donor relationships, campaign activity, payments, and nonprofit operations. As the organization’s Salesforce usage expanded, several business processes required deeper customization than standard Salesforce or managed package functionality could provide.

The organization needed practical tools that could help staff process large volumes of fundraising and finance data, support donor designation and payout workflows, automate repetitive operational steps, and keep data properly segmented as more than one United Way organization worked within the same Salesforce environment.

Salesforce Data Migration and Fundraising Foundation

WebSolo supported Salesforce data migration and fundraising data load activities, including review of upload tables, test loads, account and contact imports, affiliation logic, transaction mapping, payment records, and data cleanup.

The migration work helped prepare Salesforce for more reliable fundraising, payment, and donor management operations. Issues such as duplicate identifiers, payment mismatches, negative or zero values, and mapping differences between the legacy fundraising system and Salesforce were reviewed and addressed as part of the process.

Donor Choice Payout Wizard

WebSolo designed and implemented a custom Donor Choice Payout Wizard to help automate donor designation payout workflows.

The solution supported campaign-year-based processing, donor choice accounts, payment reductions, fee handling, payout records, partial payouts, full payouts, and write-off scenarios. A key part of the design was improving audit visibility by tracking the relationship between payments and payout records.

Custom Batch Data Entry

United Way Simcoe Muskoka received pledge forms from workplace campaigns and needed to enter many opportunities efficiently. The standard NPSP Batch Data Entry tool was helpful, but the organization needed more control over client-specific validation rules and data entry behavior.

WebSolo created a custom Batch Data Entry solution using Salesforce Visualforce and Apex. The tool allowed staff to create many related opportunity records in a controlled workflow while reusing common field values and supporting administrator-configurable layouts.

Batch Payment Processing

WebSolo implemented a custom Batch Payment Processing solution to improve how payments were entered and allocated across multiple open opportunities.

The solution allowed users to select an account, campaign year, and transaction types, then distribute payment amounts proportionally across eligible opportunities. The logic prevented overpayment, handled remaining balances, and addressed rounding differences so the total created payments matched the original payment amount.

Accounting Write-Off Process

To support finance and accounting cleanup, WebSolo created a custom write-off process for opportunities with remaining balances.

The write-off wizard allowed users to select an account and campaign year, review eligible opportunities, select records to write off, and create written-off payment records. This helped standardize the process and reduce manual work for accounting users.

Call-Center and Energy Conservation Workflows

WebSolo supported Salesforce workflow enhancements for call-center and energy conservation programs, including LEAP Applications, Energy Conservation Program records, OESP Applications, Winterproofing, and Weatherization workflows.

The work included moving housing and household income values to contact-level data, then making those values available to application records without unintentionally overwriting user-entered information later. The solution also supported prepopulation and manual refresh behavior where required.

Automated Emails and PDF Application Generation

WebSolo helped automate communication workflows by supporting email generation and PDF application attachment logic for different program scenarios.

The solution supported different messages and PDF documents for clients and delivery agents, including Home Winterproofing and Home Weatherization application flows. This helped reduce repetitive manual communication and made program delivery more consistent.

Multi-Organization Sharing and Data Segmentation

As the Salesforce environment evolved, United Way Simcoe Muskoka needed to support multiple United Way organizations inside the same Salesforce org while keeping records properly segmented.

WebSolo helped implement a more secure multi-organization sharing model using role hierarchy updates, organization-wide default changes, user role assignments, and Apex logic updates. The work supported private or controlled access to key operational objects while allowing staff to continue using the custom fundraising tools.

Deployment, UAT, and Production Support

Across the engagement, WebSolo supported requirements review, estimates, solution design, development, testing, UAT feedback, production deployment, post-deployment fixes, and Salesforce metadata backup.

The project was delivered through multiple workstreams over time, allowing United Way Simcoe Muskoka to continuously improve Salesforce while keeping the system aligned with day-to-day fundraising, finance, and program operations.
